Section I: Mission Statement

Images is a literary arts organization, trying to promote creative events within the college and local communities. Images is a forum for creativity which gives students an outlet to publish works of literature and art. It is a nonprofit, student-operated and -funded organization.

Section II: Membership
All Fort Lewis College students are eligible to submit work, and to work on Images, subject to need. The primary audience of Images is the student body. No person shall be denied the right to run for office because of gender, creed, race, age, ethnic background, sexual orientation, national origin, or physical disability.

Section III: Duties and Responsibilities
The Student Publications Committee has the power to hire and fire the literary and art editors, but does not control the content of the magazine. The Student Publications Committee is an advocacy and advisory board composed of students, faculty members, and administrators, including the faculty advisor of Images. The purpose of the Student Publications Committee is to provide a forum to discuss student publications issues as they relate to the Fort Lewis College community; see the By-Laws of the Student Publications Committee.

Editors (2):
There shall be a Literary Editor and an Art Editor. Both of these positions shall be equal to a dual-run presidency, in which one is in charge of written works and the other visual works. The other duties that they assume shall be equal and adhere to the following: To be aware of all the by-laws of Images, ASFLC, FAB, and any contracts Images may have with any board and to uphold those laws. To hold and attend monthly meetings within thirty days with members of Images, adhering to the by-laws of the ASFLC. To approve or dismiss staff as necessary:
Editors have the right and responsibility to appoint staff members.
Editors will consider all interested applicants who are in good academic standing. Staff members will be chosen based on the need for fulfilling the following functions:

1) Reading submitted works. Individuals chosen should have some sense of literary knowledge and appreciation.

2) Fund-raising, promotion, solicitation and collections of submissions, and distribution of the magazine. Individuals chosen should have initiative and responsibility. To allocate responsibilities to the members, and not take on undue amounts of tasks. To attend all meetings as required by all by-laws, or to appoint appropriate proxies. To know the history of Images and inform members of Images what the purpose and history of the publication are during the first meeting. To edit Images in a professional manner. To distribute Images through the community and student body. To plan a premier party for Images that includes entertainment (food, speakers, art works display, etc.). To find a printer and achieve the best possible financial deal for Images. To collect materials and appoint any necessary committees. To train any new editor in the process, bylaws, regulations and duties of Images. At the beginning of the year, during club week, to open our doors to the student body, ensuring a greater participation level, advertising the club and Images magazine. To set a planned calendar of events to be followed throughout the year. To promote creative events within the communities.

Assistant Editors (2): There shall be an assistant editor to each editor. They shall assume the roles of dual vice-presidents. They shall further assume the duties of the literary and art editors as follows: Aid in the editing process and formation of Images. Help obtain funds and fund-raise on behalf of Images. Attend monthly meetings. Aid in the editors’ decisions and vote on proposals. Aid in all events of Images that are voted necessary to meet regulations and the bylaws of Images contracts and be aware of these regulations and bylaws. Preside over meetings when editors cannot attend.

Financial Director (1): There shall be a Treasurer or Financial Director: His or Her responsibilities include: In case of no secretary, record the events of the meeting and make sure the advisor, ASFLC, Student Publications and FAB Board have the minutes, as well as a record for Images files. Prepare a budget and propose it to Images and then to the FAB board, ASFLC, and Publications Board. Attend all financial meetings that are relevant to Images. Continuously find fund-raising ideas for Images. Track the budget and inform the other members of Images’ financial position at each meeting. Collect and report all donations and fund-raising profits according to regulations with ASFLC. Form Committees as necessary to help fundraise.

Advisor (1): There shall be one advisor to oversee Images. He or she shall be a professor in the English Dept and responsibilities include: Selection of Editors: Each editor shall be a full-time student in good academic standing with a minimum 2.0 GPA, as verified by the faculty advisor. Interested individuals shall contact the faculty advisor on a volunteer basis; the advisor will negotiate with interested parties and decide the overall position of the student. The advisor must choose two editors: art and literary, and a financial director (if possible). The advisor will present potential editors to the Student Publications Committee, which has the right of final approval. The advisor may choose editors in consultation with editors of the past years, according to his/her discretion. Assure that the new editors are given a binder with Images, ASFLC, and the Student Publications Committee by-laws, regulations, and contracts. Oversee all Images meetings and mediate when necessary between editors, ASFLC, and Student Publications Committee. If there is a tie in a vote the advisor shall cast the deciding vote but not vote otherwise.

Section IV: Policies and Procedures The Magazine will be delivered to the printer no later than March 1st of the winter trimester. Upon receipt from the printer Images shall be distributed to the student body in a timely fashion. All Staff must adhere to these by-laws. Images, as an RSO II organization, will raise 15% of the annual budget, as required by the ASFLC. Images will ensure equal and easy access to the student body regarding submission and distribution of the magazine. They will distribute Images magazine in accordance with ASFLC and Student Publication Committee guidelines.

Administration of Editorial Responsibilities All responsibilities regarding the art and literary editors, assistant editors, advisor, and financial director are outlined in Section III: Duties and Responsibilities.

Staff Members’ Responsibilities
Staff members will use reasonable effort to protect the integrity and safety of all submitted work; they will not divulge any information about selected works. The staff of Images has full autonomy over the format, layout, content, and theme of the publication. In order to guarantee freedom of speech, the Student Government, Student Publications Committee, and administration do not have any control over the content of Images. The editors of Images will decide in consultation with the faculty advisor what constitutes appropriate content, as to obscenity, inflammatory material, et cetera.

Submission Process
Images will attempt to publish a wide representation of work from the student body, while allowing for constraints of time, space, resources, and editorial judgment. As a special feature, Images may also choose to publish work from contributors other than Fort Lewis College students. These contributions are considered a gift to the student body; however, in publishing these, care will be taken that works by students will not consequently be excluded or limited. The submission process will allow contributors ample time to submit. Submission deadline will be on or around February 1st. Staff will ensure that there are sufficiently clear instructions for submissions, and will designate accessible places to deposit work. These will likely be some combination of the following: the Images mailbox in the Student Life Center, a mailbox in the CUB, and the advisor’s mailbox in the English department. There will be a minimum of three people evaluating each piece of submitted work. Editors are considered part of the staff when it comes to group of readers, and will read submissions no differently. After initial readings, staff will convene and vote on final selections for publication; editors have votes as staff members. In case of matters not resolved by these votes, such as tied votes, the editors will have final judgment.

Section V
By-laws can be amended by staff vote in consultation with the faculty advisor, ASFLC, and the Student Publications Committee.

Section VI
The art and literary editors and financial director shall be under contract to the Publications Board. If one of the following individuals fails to meet their responsibilities they will be disciplined or dismissed according to the Publications Board’s judgment.
